What are the email limits for Outlook? Email updates up to 20 MB. If you try to send a large file or group of files larger than 20 MB, you will receive an error message. Fortunately, there are ways to avoid Outlook file size limits if you know what to do.

Before attaching large files to your MS Outlook emails, you should understand the basics of attaching a file to a message. Let’s review the process:
From your new message, click the Attach file icon in the ribbon. A list of recently used items will appear. If the file you want to attach is not in the list, scroll down and click the Browse this computer option. File Explorer opens. Navigate to the file you want to attach to your Outlook email:

Click on the file you want to attach to your email. Then click the Insert button. The file is attached to the email. You’ll see the file under the email header (in this case a screenshot of the image I attached):
After uploading the file, carefully check the text of your message. Click the Send button on the left to send your message.
Although it is easy to attach a file to an MS Outlook message, there is a size limit of 20 MB. If Microsoft Outlook exceeds the connection size limit, you will receive an error message:
If the total file size you have attached to your email exceeds the file attachment limit, you will receive an error.

The limit for the size of the attached file is maximum. So, in the example above, an error message appears when the extension file is included. Although none of the attached files exceed the limit, they are larger than 18 MB. The extension file is still 4 MB – all attachments are over 22 MB.
In addition to Microsoft Outlook’s file size limits, it’s important to remember that some mail providers have limits on the size of attachments their computers can accept. Therefore, if your email has a large attachment (or multiple attachments), your message may not be delivered.
If you use file attachments, you can use the Microsoft Outlook feature to reduce the size of the image. To use it, click the File tab at the top left of your message window. You will see the following screen:
To have Outlook change the size of your files when I send this message, click the Change button to the left of File Sizes.

Note: The image files will be updated after clicking the Submit button. Therefore, you cannot add an extension file in the example above.
To determine the maximum size of the image, check the message posted:
As you can see, even the largest file that was 5 MB, Regional (6).jpg, is now 284 KB (.277 MB).
Automatic updates only work if images are attached to your email and sent. If you have included images in your message, you cannot edit them using this method. Therefore, a large file cannot be sent this way. But you can reduce the size of the images you send, which increases the chances of them being accepted by the recipient’s email.
Large File Send
The size of Outlook is very useful, but it does not work for some file types. For example, let’s say you have a large spreadsheet or document that you want to email. Resizing does not work. Video files are another type of file that often exceed Outlook’s email limits, but cannot be edited using the edit function.
The solution for large file types is to compress them using a zip file before attaching them to your Outlook email. A zip file can combine multiple files into a single file.
Creating a zip file automatically compresses your files, but this is not useful for previously compressed file types. For example, .jpg—the most popular image format—has long been compressed. Therefore, uploading files of this type will not reduce their size.
When the host receives the zip file, it extracts the files from the zip file. Let us begin. In this example, I will show you how to send these large files by email using Outlook email.
Send Large Files [update 2022]
The first thing you need to do is zip your main files. Go to Windows File Explorer and find the files you want to zip. Use CTRL+Shift to select multiple files. Here is an example of a selected file:
In this example I am using large video files. Note that the selected files are slightly over the 20 MB limit. Right-click the selected files to bring up a pop-up menu:
Go to Export > Folder (zip) directory. The program creates a zip file containing all the files you selected:
Note that the size of the zip file is smaller than the number of original files. Now you can rename this file if you want

Once you’ve created your zip file, you can attach it to an Outlook email using the file transfer methods I described earlier. When you’re ready, click the Send button.
When your recipient receives an email with a zip file attached, they need to extract the files. It’s easy if you know what to do. Here is the email with the zip file attached:
To find the files in the zip file from the recipient’s Outlook email, click the down arrow to the right of the file. Select the Save as option:
Save the zip file to a folder on your computer where you want to save it. Then use Windows File Explorer to navigate to the folder where you saved the zip file. Click on the file to select it. Right-click to bring up the pop-up menu:

Select the location of the extracted files and click the Extract button. The files will be extracted to the location you selected.
You can upload a large file to cloud storage and share it later. Popular cloud storage services include Dropbox, Google Drive, and OneDrive.
OneDrive is Microsoft’s cloud storage service. It is built into Windows. If you have a Microsoft account, you can store up to 15 GB in your free OneDrive account. You can find OneDrive in your Windows File Explorer (see the image that looks like a cloud):
Let’s see how to share large files with Microsoft OneDrive. In the example above, I have already created some folders including shared files. To share files via OneDrive, I open two instances of File Explorer on my computer. I click on the files I want to share to select them and drag them to the OneDrive folder:

Once the files are in the folder you want to share, right-click the folder name to bring up a pop-up menu. And select OneDrive sharing options. The OneDrive window opens with the ‘Shared files’ dialog box:
You’ll find a variety of ways to share files in your folder, including through social media. To share files with Microsoft Outlook, click the Copy button to copy the displayed link to the clipboard.
Open Microsoft Outlook and create a new message. Press CTRL+V to paste the link into your email:
When you’re ready, click the Send button to send your email message. After receiving the message, the recipient can click on the link in the email to access the large files you shared.
